Professional Email, on Your Own Domain
[email protected] is table stakes for credibility — here's what it actually takes to set it up right.
Why the domain in your email address matters
A free address signals a side project. A domain-matched address — [email protected] — signals a real business, and it's one of the cheapest credibility upgrades available. It also protects you: if a teammate leaves, you keep the inbox and the history, not them.
What you actually need
- A domain you already own or just registered.
- An email provider — Google Workspace, Microsoft 365, or an email plan bundled with your hosting.
- DNS records set correctly — MX records point where mail is delivered; SPF and DKIM keep it out of spam folders.
Setting it up on your devices
Once the account exists, connecting it to iPhone, Android and Outlook is a standard IMAP/SMTP setup — server, port, and SSL settings your provider gives you. The part people get wrong isn't the device setup, it's skipping the DNS step first, which leaves mail undelivered even though the app looks connected.
Keeping it out of spam
Two records do almost all the work: SPF (tells other mail servers which servers are allowed to send on your domain's behalf) and DKIM (a digital signature proving the email wasn't tampered with). Skip these and even legitimate emails from you start landing in spam.
